Getting Started

eFax Corporate is a cloud-based paperless and cost-effective alternative to fax hardware. It enables businesses to send and receive faxes quickly, privately and securely by email. Access faxes anywhere via pc, laptop or wireless device and eliminate the headaches and maintenance charges of fax hardware, supplies and additional IT costs.

Each user who subscribes to the eFax Corporate platform receives their own local or toll-free eFax number and Secure User IDTM which is linked to their email address.

Receiving faxes:

Faxes sent to your eFax number travel across the Public Switched Telephone Network (PSTN). eFax converts the fax to a TIF, PDF or EFX file —by attaching it to an email; and forwarding it directly to
your employee’s email inbox.

Sending faxes:

You can send faxes directly from an email inbox. If you don’t have email access, that’s ok. You’ll still be able to send a fax by logging in to your account. For more info see “How do I send faxes with
eFax Corporate?”

It is a unique local or toll-free eFax number (for each employee) linked to an individual email address. Faxes sent to this number are received directly into an employee’s email inbox.

When you receive a fax message using an eFax Corporate fax number, it’ll arrive as an email in a PDF or TIFF file attachment. Simply click or double-click on the email attachment to open your fax. For PDF’s, use Acrobat Reader. For TIFF’s you’ll need eFax Messenger. Download eFax Messenger here.

eFax provides easy ways to send a fax.

Sending a fax by email
• Create a new email. Enter the fax number in the email address field followed by @efaxsend.com. For example: [email protected].
• Attach the documents by selecting insert from the File menu. They will be faxed in the order they were attached.

• Click to send the email.
• You will receive a confirmation email (when the fax has been delivered). Note: You can fax most file types by email.

Send a fax online with My Account

• Log in to My Account and click Send a Fax to send files as faxes from any computer, even if you don’t have access to your email account.
• Include the attachments you want to fax. Click the browse button and select the files stored on your computer. Fill out the form and click Send to fax.

The eFax Corporate platform is designed with security and compliance needs in mind. We meet the strictest standards for heavily regulated industries or for companies with high volume faxing needs. Healthcare and HIPAA Faxing

Yes, eFax Secure is our HIPAA compliant fax solution that uses strong encryption for the protection of ePHI. Through a secure portal and in-transit to business associates who receive an email with a secure link to the ePHI. This is one of the reasons that the eFax Corporate platform is the fax service of choice for heavily regulated industries — such as healthcare, financial services, legal and real estate.

The HIPAA Security Rule does not expressly prohibit the use of email for sending e-PHI. However, the standards for access control (45 CFR § 164.312(a)), integrity (45 CFR § 164.312(c)(1)), and transmission security (45 CFR § 164.312(e)(1)) require covered entities to implement policies and

procedures to restrict access to, protect the integrity of, and guard against unauthorized access to e-PHI. The standard for transmission security (§ 164.312(e)) also includes addressable specifications

for integrity controls and encryption. This means that the covered entity must assess its use of open 3 networks, identify the available and appropriate means to protect e-PHI as it is transmitted, select a
solution, and document the decision.

Yes, the eFax Corporate cloud fax solution can enable the highest levels of encryption for inbound and outbound faxes. For sending and receiving secure faxes over eFax Corporate’s secure network, we
use the most sophisticated encryption standards, TLS 1.2 (Transport Layer Security). eFax SecureTM is available to customers who want secure storage of all inbound faxes in the cloud – accessible
24/7/365 via a secure portal.

Yes, we offer custom fax API integration through our eFax Developer API. This allows businesses to connect cloud faxing to their existing workflow platforms and productivity tools —including CRM or ERP systems such as Salesforce, Sage, Netsuite; or in the case of healthcare firms, electronic healthcare records systems such as NextGen, MediTouch or Cerner via a simple to plug-in XML API. Yes, its an internet-based document platform/delivery service designed to replace or augment a company’s existing fax solution. eFax works with any PC, laptop, or wireless device that is capable of sending and receiving emails; including multi-function devices. Learn more about

The eFax Corporate solution includes eFax messenger (a free optional download) which helps you:
• Read faxes received as .efx or .tif files.
• Respond to faxes without printing or re-scanning them. Simply annotate, sign, and return your approval by using the eFax Messenger desktop fax software.
• Enables you to email web pages, screenshots, and a variety of other file types as self-viewing attachments – the attachment looks and prints just like the original, even in colour! eFax Messenger for Windows 2000, XP, or NT – allows eFax Corporate users to create, annotate, and send faxes and email messages.
• Supports sending for Office 2007, StarOffice and OpenOffice documents. Users can view, zoom, rotate, and print their received faxes; without any advertising in the toolbar of the viewer, or in the
fax itself.

Each user must install the eFax Messenger software on their client PC to utilize the above features.

Yes. You may call-forward your existing fax number(s) to your new eFax number. In certain circumstances, we can port your existing fax number across to the Corporate solution.

Technical Questions

• Yes. This is a big productivity benefit — no more having to stand at a fax machine to redial a busy fax number. With an eFax Corporate solution, your staff can send a digital fax: by email or through the secure eFax Corporate web interface. If the recipient’s fax number is busy, the system will automatically re-send the fax.

Our standard system will set up your internet faxing solution to retry a busy fax number five times, spaced over increasing delays among each re-dial attempt. In the case of a “human-answered” error
— meaning an instance where the fax number was actually also a phone line and answered by a person or voicemail — we will attempt just a single re-send. eFax can also tailor any of these specifications from our standard setup, to meet any enterprise’s needs.

• Yes. eFax Corporate’s intuitive and secure online fax interface for our customers’ administrators is called My Account.

My Account gives administrators a secure environment to easily manage their organization’s cloud faxing solution. Administrators can log in to My Account anytime. To add new virtual fax numbers,
assign new users, review reports of inbound and outbound fax traffic: by individual employee, fax number, department or company-wide.
From their My Account online portal, admins can access a wealth of information to learn about how best to use their eFax Corporate service. Such as learning how to set up business fax numbers,
download APIs, and gain a better understanding of HIPAA fax compliance.

Yes. there are two types of administrators on an enterprise account:

1. A corporate administrator (super-administrator) has full administrative privileges over the organization’s entire eFax Corporate account and its users. Note: an enterprise can assign more than one corporate administrator.

2. A group administrator (sub-administrator) manages one or more groups of users, or subgroups. How much a group administrator can manage those users depends on the permissions given to him
or her by a corporate administrator.
